The Office Admin Assistant reports directly to the Local Executive and ensures smooth and accurate management of HR and administrative data related to Jonckers by providing high-level, confidential administrative support to the company’s headquarters in Brussels. The Office Admin Assistant also liaises with external consultants (payroll agent & accountant). Following instructions from the Finance & the HR departments, he/she must guarantee the quality and level of administrative services provided inside the company. The Office Admin Assistant performs his/her role independently, in liaison with and under the supervision of the CFO

Duties

Secretarial support & coordination

  • Organize agenda & meetings from a logistics point of view
  • Provide routine administrative & provides support to the Local Executive and CFO
  • Filing & archiving
  • Dispatch information throughout the sub-subsidiaries as and when required
  • Book travel arrangements

Office & facility management:

  • Welcome visitors
  • Liaise with landlord & office administrator on building-related issues
  • Order office supplies and monitor supplier’s contracts

HR/Admin Office support:

  • Fill in holidays, days off and hours in the payroll system & send this data to the payroll consultant
  • Manage the attendance and leave requests (WhosOffice) systems
  • Send the payroll to the HR Manager for sign-off
  • Participate in recruitment activities
  • Keep up to date with- and ensure compliance with local rules (labour-law & accounting)
  • Update and maintain office policies and procedures 

External Recruitment:

  • Provide the support to the Vendor Management
  • Support the sourcing activities

Marketing Support

  • Support marketing and sales campaigns
  • Monitor and actively promote the company through social media under the guidance of Marketing Manager

Requirements and Skills

  • Experience working in an office setting
  • Strong knowledge of Outlook and Microsoft Office
  • Excellent written and verbal communication skills
  • Ability to multi-task and prioritise projects
