Office Manager – Brno


We are looking for the reliable, enthusiastic, well organized and motivated person able to manage Brno office from an administrative point of view, support employees and managers and who are not afraid to take responsibility for resources and finance.


The Office Administrator is considered a member of the Finance & Admin Team and reports directly to the Head of Finance and Administration in Brussels.
In her/his role the Office Administrator is responsible for smooth running of the office. She/he is the main local contact bridge for admin, HR and finance matters.

The Office Administrator duties include:

• Administration
• Coordination of business trips booking
• WhosOff management (leave management system)

Local Administration:

• Attendance system management
• Maintenance, Supplies, Equipment
• Communication with the suppliers/providers (maintenance, office supplies)
• Business trips within Brno (post office, accounting company, bank, shopping)
• Support for travel expense reports preparation (according to CZ law)
• Support for local Executive Director in his role of legal representative
• Opening of incoming mail & welcome visitors


• Management of the cash flow forecast
• Support for the preparation of the monthly and annual financial closure liaising with headquarters in Brussels
• Handling of suppliers’ invoices: get approval, coding, posting in accounting system and transfer to the external accountant
• Support for the employees annual tax settlement
• Check of the bank accounts (credits, debits and constant updates)
• Management of collections and payments
• Follow-up of treasury file
• Management of the payroll with the Payroll Consultant and dispatch of the payroll to the HR Manager for sign-offs
• Reports preparation for the headquarters in Brussels


• 1+ experience in Administration is plus
• Proficiency in Microsoft Office
• Excellent written and verbal communication skills
• Willingness to learn a new tools and technologies
• Well organized, detail-oriented, punctual, and good at working in a team
• Ability to work under stress and pressure
• A passionate and responsible worker who understands the complexities of the situations and comfortable to spend extra hours and efforts to deliver quality outputs on time
• English – intermediate (oral and writing)
• Driving license B
